Purchase Orders & Purchasing Controls Practical guide

Match Multiple Invoices to One Purchase Order

Use remaining authorized quantity as the control

The short answer

A single PO may legitimately support separate shipments and bills. The risk is losing track of the cumulative amount or paying twice for a line already invoiced.

How to approach it

Track each invoice against PO line, shipment, received quantity, amount previously billed, and remaining balance. Have a reviewer compare the running total to the approved order and amendments.

  1. Create a ledger per PO line
  2. Deduct previously invoiced and received amounts
  3. Close the order only after final balance is explained

Could this affect your business?

  • Can the reviewer locate the approved order and every written change?
  • Do you know what arrived or which service milestone was accepted?
  • Is the person approving payment able to see the source evidence?
