Purchase Orders & Purchasing Controls Practical guide
How to Compare a Purchase Order With the Supplier Invoice
Start with the authorized version
The short answer
A meaningful comparison needs the purchase order that was actually approved, any later authorized changes, the delivery evidence, and the invoice. Comparing a bill with a draft order can create a false discrepancy or overlook a valid change.
How to approach it
Check vendor, SKU, unit, quantity, price, delivery terms, taxes, and fees. If the invoice differs, identify which approval or amendment explains the line before deciding whether to pay or dispute it.
- Retrieve the approved PO and every change
- Compare quantities, units, prices, and fees line by line
- Link receipt evidence and note the reviewer decision
Could this affect your business?
- Can the reviewer locate the approved order and every written change?
- Do you know what arrived or which service milestone was accepted?
- Is the person approving payment able to see the source evidence?
Where BizScoper fits
