Purchase Orders & Purchasing Controls Practical guide

Handle Partial Deliveries Without Losing the Remaining Order Balance

Track each shipment against the original order

The short answer

A partial delivery may produce an invoice for the delivered portion, a later invoice for the balance, or a single invoice after completion. Without shipment-level notes, a second bill can look duplicative or a missing balance can go unnoticed.

How to approach it

Maintain a simple order ledger with ordered, received, invoiced, and open quantities. Ask the vendor how it bills partial shipments and compare each invoice to the shipment and contract terms.

  1. Record each delivery date and quantity
  2. Subtract previously invoiced quantities from the open balance
  3. Flag short, damaged, or backordered items for follow-up

Could this affect your business?

  • Can the reviewer locate the approved order and every written change?
  • Do you know what arrived or which service milestone was accepted?
  • Is the person approving payment able to see the source evidence?
