Purchase Orders & Purchasing Controls Practical guide
Review a Service Invoice When There Is No Box to Count
Use scope, time, milestone, and acceptance evidence
The short answer
A service bill may be based on hours, a fixed milestone, a retainer, or a recurring schedule. The approval evidence should fit the agreement: accepted work product, authorized hours, service dates, or sign-off from the person who requested the work.
How to approach it
Compare the invoice's scope and period with the contract, work ticket, and acceptance note. Escalate unapproved scope changes and preserve a concise record of what was reviewed.
- Identify contract and billing basis
- Confirm service period, hours, or milestone evidence
- Save requester acceptance and approved changes
Could this affect your business?
- Can the reviewer locate the approved order and every written change?
- Do you know what arrived or which service milestone was accepted?
- Is the person approving payment able to see the source evidence?
