Purchase Orders & Purchasing Controls Practical guide

Investigate a PO and Invoice Price Mismatch With the Right Documents

Check the accepted price and amendment history

The short answer

A price mismatch can come from a quote expiring, a substitute SKU, a negotiated change, a tax or freight line, or a transcription error. The key question is which accepted term applied on the order date and whether an authorized person approved a change.

How to approach it

Compare the purchase order with the accepted quote and any revision notice. Recalculate the line extension and total; preserve both the original and corrected documents so future orders use the right price.

  1. Identify accepted quote and PO date
  2. Separate unit price from tax and freight
  3. Record who approved each price change

Could this affect your business?

  • Can the reviewer locate the approved order and every written change?
  • Do you know what arrived or which service milestone was accepted?
  • Is the person approving payment able to see the source evidence?
