Purchase Orders & Purchasing Controls Practical guide

Save Order Confirmations Where Accounts Payable Can Find Them

Preserve the exact terms sent to the vendor

The short answer

An order confirmation can reveal a vendor's interpretation of quantity, delivery date, unit, price, and shipping terms. It is especially useful when an invoice arrives weeks later or a different employee placed the order.

How to approach it

Store the confirmation under the PO or internal order ID and forward amendments to the same record. Use the supplier's confirmed order number in receiving and invoice notes when available.

  1. Attach confirmations to the purchase record
  2. Check discrepancies while there is still time to correct the order
  3. Save acknowledgment of any revised terms

Could this affect your business?

  • Can the reviewer locate the approved order and every written change?
  • Do you know what arrived or which service milestone was accepted?
  • Is the person approving payment able to see the source evidence?

Where BizScoper fits

Keep the source record close to the decision
