Purchase Orders & Purchasing Controls Practical guide
Document Purchase Order Changes Before the Invoice Arrives
Keep a dated amendment trail
The short answer
Phone calls and chat messages can change quantity, delivery, or scope, but those changes are hard to reconcile later if they never update the order record. A written amendment ties a changed commitment to a named approver and date.
How to approach it
Use a numbered revision or addendum with the old and new terms, reason, effective date, and approval. Send the updated version to the supplier and retain acknowledgment; avoid replacing the original file without history.
- Record the original order and each revision
- Capture approver, date, scope, and price effect
- Keep supplier acknowledgment with the amendment
Could this affect your business?
- Can the reviewer locate the approved order and every written change?
- Do you know what arrived or which service milestone was accepted?
- Is the person approving payment able to see the source evidence?
