Purchase Orders & Purchasing Controls Practical guide
Three-Way Matching: Order, Receipt, and Invoice in Plain English
Use three records to answer three different questions
The short answer
Three-way matching compares an approved purchase order, evidence that goods or services were received, and the supplier's invoice. The order establishes authorization and agreed terms; receipt evidence describes what arrived; the bill states what the supplier requests in payment.
How to approach it
The method is a control, not a guarantee. It works best when teams record exceptions for substitutions, partial deliveries, service milestones, or amended terms instead of forcing every transaction into a binary match.
- Keep the order, receiving record, and bill linked
- Define acceptable tolerances and who can approve them
- Document exceptions and their supporting approval
Could this affect your business?
- Can the reviewer locate the approved order and every written change?
- Do you know what arrived or which service milestone was accepted?
- Is the person approving payment able to see the source evidence?
Where BizScoper fits
Keep the source record close to the decision
