Purchase Orders & Purchasing Controls Practical guide
A Receiving Record Helps Explain What the Invoice Should Cover
Capture actual delivery details at the point of receipt
The short answer
The person who receives a shipment can confirm whether it arrived, in what quantity, and in what condition. A dated receiving note or packing slip gives the person paying the invoice evidence that is separate from the supplier's bill.
How to approach it
For services, use a milestone sign-off, work ticket, or completion record instead of a goods receipt. Record exceptions immediately; a later reconstruction from memory is less reliable.
- Date and identify the delivery and receiving person
- Note quantity, damage, substitutions, and shortages
- Attach packing slips or service sign-off
Could this affect your business?
- Can the reviewer locate the approved order and every written change?
- Do you know what arrived or which service milestone was accepted?
- Is the person approving payment able to see the source evidence?
Where BizScoper fits
Keep the source record close to the decision
