Supplier Invoices & Cost Review Practical guide

Compare Two Vendors Only After Normalizing the Offer

Control for quality, terms, and delivered cost

The short answer

The lowest quote may have a different grade, pack size, lead time, warranty, return policy, or minimum order. A useful comparison records all these variables beside the unit price so the decision is not driven by a misleading headline amount.

How to approach it

Use a quote sheet with one row per normalized requirement and mark unknown terms as unknown. If the goods are not equivalent, record why one is preferred instead of presenting the prices as a direct comparison.

  1. Define specification and required quantity
  2. Normalize unit and delivered cost
  3. Compare lead time, terms, quality, and returns

Could this affect your business?

  • Can you trace this charge to an approved order, accepted terms, and a delivery or service record?
  • Would your review catch the same bill, a changed pack size, or a fee that appeared this month?
  • Can a second reviewer reproduce the comparison from the original documents?

Keep the source record close to the decision

Money Leak Detector is being developed to surface possible duplicate charges, price changes, and invoice variances for human review. A flag is a question to investigate, not proof of an overcharge.
