Supplier Invoices & Cost Review Practical guide

When a Case Size Changes, Recalculate the Effective Price

Watch quantity and unit size as separate fields

The short answer

A supplier can keep a case price steady while reducing the number or size of units. The invoice total may look unchanged even though the effective cost per usable unit rises.

How to approach it

Compare the current product specification with the prior invoice or catalog. Ask whether the SKU changed, whether the substitute was approved, and whether the invoice accurately describes the delivered quantity.

  1. Compare case count, units per case, and size per unit
  2. Calculate cost per common unit
  3. Document approval for any substitute product

Could this affect your business?

  • Can you trace this charge to an approved order, accepted terms, and a delivery or service record?
  • Would your review catch the same bill, a changed pack size, or a fee that appeared this month?
  • Can a second reviewer reproduce the comparison from the original documents?
